Objective
Answer an operational question from the current standard report without changing its source records.
Before you begin
- Decide the question first, such as capacity, waitlist, attendance, schedule, or balances.
- Reports and downloads follow Studio access. A report title or saved configuration does not grant additional records or export permission.
Instructions
Open “Reports” and select a “Standard reports” card
Open Reports, then select the standard report that matches the question: Enrollment roster, Class capacity, Waitlist, Attendance summary, Attendance exceptions, Receivables aging, Account credits, Class schedule, or Account status.
Read “Definition” and “Data freshness” before using the rows
In Report output, check the selected report title, Definition, Data freshness, and row count. Confirm those describe the question before sharing or acting on the visible results.
Use “Filter rows” and “Sort by” to inspect the selected report
Enter a value in Filter rows to narrow the selected output, then choose a Sort by option when needed. Check the visible row count and the table after each change. Filtering or sorting changes the view only; it does not change an enrollment, attendance record, class, or balance.
Enter a “Favorite name” and select “Save this report” when available
Enter a clear Favorite name and select Save this report. Favorites saves the selected standard report and its Filter rows value. The workspace allows up to 10 Favorites. If Favorite name or Save this report is not shown, your current access does not include that action.
Reopen the saved item from “Favorites” and check the filter
Select the saved Favorite. Confirm that the selected standard report and Filter rows value match the saved task. Favorites returns Sort by to Original order, so choose Sort by again if a particular order is needed.
Select “Download report CSV” only when it is visible
Use Download report CSV only when the action is shown for the selected standard report. The download identifies the selected report by report ID; it does not carry the on-screen Filter rows or Sort by choices. Check the downloaded file before using it as a filtered or sorted view.
Result: The selected standard report has been checked, optionally saved as a Favorite, and exported only with the correct expectation for the downloaded data.
Troubleshooting
Reports is restricted, a report is unavailable, or Download report CSV is missing.
Check the Studio workspace and report you selected, then ask a Studio Administrator to review the access required. Do not use another staff member’s account or try to recreate the report elsewhere.
The report has no authorized rows or an unexpected result.
Read Definition and Data freshness, then clear Filter rows and return Sort by to Original order. If the source record appears wrong, open the matching class, enrollment, attendance, or billing workflow rather than editing the report to hide the discrepancy.
A Favorite or CSV does not match the on-screen sorted view.
Open the Favorite and check its selected report and Filter rows value. Select Sort by again after reopening because it returns to Original order. For CSV, use the full selected report; the local on-screen filter and sort are not included in the export.
Result
Open the matching Studio record for any follow-up. Reports identify work to review; they do not replace the authorized workflow for changing it.
Support
Ask a Studio Administrator about report access or definitions. Contact Orbit when a standard report fails to load or a saved Favorite cannot be reopened after the safe checks above.
