Objective

Keep participation limits, correction safeguards, capacity policy, and staffing availability clear before daily operations.

Before you begin

  • Have the Studio administrator’s approved attendance, makeup, drop-in, and staffing policies.
  • Use an account allowed to administer participation settings. Have the verified Staff user and local dates, times, and time zone for availability records.

Instructions

  1. Review Settings > Attendance

Set Require class completion, Minimum absence lead time, and Guardian attendance history. Keep Require correction reason enabled. Select Save changes and verify Current active values.

  2. Review Settings > Makeups

Set Enable makeups, Credit expiry days, Reservation hold hours, and Makeups per session. Enabled makeups need a positive session limit, and a reservation cannot outlast the credit. Save approved changes and check Current active values.

  3. Review Settings > Drop-ins

Set Enable drop-ins, Minimum lead hours, Reserve class capacity, and Payment timing. Keep Reserve class capacity enabled when drop-ins are enabled. Select Save changes and verify the result; Payment timing records policy and does not collect a fee.

  4. Save a scoped participation record only when approved

In Attendance, Makeups, or Drop-ins, use Add record to enter Name, the approved Rule scope identifier, and that record’s attendance, makeup, or drop-in fields. Select Add record, or Edit and Save record for a correction. These records are saved separately from the page’s active policy controls.

  5. Review Settings > Staff availability

Check Assignment conflict behavior, Minimum break minutes, Recurring availability, and Require exception reason. Warned conflicts require an exception reason. Select Save changes for approved policy edits.

  6. Enter an availability window

Under Add record, enter Name and Staff user. Choose Recurring or Exception in Recurring schedule or dated exception. For Recurring, enter comma-separated Days of week and leave Exception date and Exception reason empty. For Exception, clear Days of week and enter Exception date and Exception reason. Set Start time before End time, Availability, and Time zone, then select Add record. Use Edit and Save record for a correction.

  7. Review the saved rules and schedule

Reopen the edited areas to check Current active values and Managed records. Review Assignment conflict preview in Staff availability and the affected Schedule separately. Resolve approved assignment changes before relying on the new availability.

Result: Approved participation policy and availability records are saved, with any schedule impact identified for follow-up.

Troubleshooting

Attendance, makeup, or drop-in settings fail validation.

Keep correction reasons required, use a positive session limit for enabled makeups, keep reservation duration within credit expiry, and reserve capacity for enabled drop-ins. Correct the visible error rather than disabling a safeguard.

An availability window is rejected or a conflict remains.

Check the Staff user, time zone, recurring weekdays or exception date, start and end times, and exception reason. Review Assignment conflict preview and the affected assignment with a Studio administrator. Contact Orbit support if the approved record still fails to save.

Result

Take attendance and handle individual participation or assignment changes in their own Studio workflows. Saving policy does not mark a roster, book a makeup or drop-in, collect a fee, or reschedule a class.

Support

Ask a Studio administrator to approve participation limits and staffing exceptions. Contact Orbit support for persistent validation, save, or supported-scheduling errors.
