Objective

Keep the studio’s registration configuration reviewable before using the related registration workflow.

Before you begin

  • Have approved enrollment and registration rules, exact agreement text, form-field purposes, and permitted portal visibility.
  • Use an account authorized for the relevant settings. Saving a policy or managed record is separate from reviewing a submitted registration.

Instructions

  1. Review Settings > Enrollment

Check Allow future enrollments, Use waitlists, Age-range behavior, and Drop notice days. Select Save changes for approved edits and confirm Current active values.

  2. Review Settings > Registration

Check Registration review, Require payment method, Send confirmation, and Capacity hold minutes. Save approved changes and verify Current active values. These settings alone do not confirm a placement, collect payment, or prove a confirmation was delivered.

  3. Record an approved registration channel when needed

Under Managed records in Registration, enter Name, Channel, Enabled, Review mode, Require payment method, and Capacity hold minutes. Select Add record, or Edit and Save record for an existing channel. Verify the saved channel details.

  4. Review Settings > Forms

Check Require field purpose, Require sensitive-data consent, Default response retention, and Review authoritative changes. Select Save changes for approved policy edits.

  5. Define an approved registration form field

Under Add record in Forms, enter Name, Field key, Data type, and Purpose. Set Required, Sensitive, Consent required, and Retention. Sensitive fields require explicit consent. Select Add record, or Save record when editing, and verify the definition.

  6. Save an approved agreement version

Open Settings > Policies. Review Versioned acceptance, Require re-agreement on material change, Policy presentation, and Agreement reminder days; save approved policy edits. In Add immutable version, enter Name, Policy key, Version, exact Policy text, Applicability, Effective date in YYYY-MM-DD format, and Require re-agreement. Select Save version. Preserve the earlier version when text changes.

  7. Set Studio-side portal capabilities

Open Settings > Portal capabilities. Review Parent portal available and the individual task controls under Discover & register, Billing & account, and Participation. Save approved changes. To make the portal unavailable, disable its individual task switches as well.

  8. Review visible fields and request policy

Open Settings > Visible fields to review Show balances, Show statements, Show receipts, Show attendance, Show emergency summary, and Restricted field behavior. Emergency summaries require Purpose And Grant. In Family requests, review Contact change handling and the restricted-request notification rule. Save approved edits in each area.

  9. Verify configuration before using the workflow

Reopen the edited areas and check Current active values and the saved Managed records. Check the actual registration task separately before relying on a field definition, agreement reminder, or channel record. Use the class-publishing guide for individual class visibility and online-registration controls.

Result: The approved rules, definitions, agreement version, and Studio-side portal controls are saved and identifiable for workflow review.

Troubleshooting

Portal or form settings fail validation.

Keep Sensitive fields paired with Consent required. Disable individual portal task switches when Parent portal available is off. Show emergency summary requires the approved Purpose And Grant behavior. Resolve the displayed error before saving again.

An agreement or form definition saved but the expected registration behavior is missing.

Check the correct area and saved record, then ask a Studio administrator to confirm that the intended workflow uses that definition or version. Do not treat the saved record as proof of signer acceptance or delivered reminders. Contact Orbit support for a confirmed workflow error.

Result

Review actual incoming requests in the Studio registration queue. A configuration save does not convert a request, create a placement, or establish agreement acceptance.

Support

Ask a Studio administrator to approve registration, collection, agreement, and visibility decisions. Contact Orbit support for persistent save or supported-workflow errors.
