Objective

Save the correct household, new dancer records, class placements, payment preferences, and configured unpaid fees.

Before you begin

  • Use an account with family and enrollment read/write access. Have the household contacts, address, each new dancer’s birth date and grade, and the approved classes and payment preferences.
  • Use this intake for new dancers. To place a dancer who already has a Studio record, use Enrollments rather than entering the dancer again.

Instructions

  1. Open “Overview” and select “New enrollment”

In Family Search, search by family, guardian, child, email, or phone. Select the verified household if it exists; otherwise enter the new Family name. Check Location, How did you hear about us?, and Referral name when shown, then select Continue.

  2. Complete “Contacts and household”

Check the primary contact’s first and last name, Relationship, Primary phone, Email, Membership type, Home address, City, State, and ZIP code. Select Add secondary contact if needed and complete Emergency contact name, Emergency phone number, and Emergency relationship. Selecting an existing family brings in its saved details; review any changes before continuing.

  3. Enter each new dancer under “Children”

Enter First name, Last name, Birth date, and Grade. Complete the other shown profile and health fields as appropriate. Select Add another child for each additional new dancer. Use Remove on an extra child entry entered by mistake, then select Continue.

  4. Choose classes and placement for every child

In Classes and payment, select each child’s approved classes. For each selection, check Placement and Start date. Choose Enroll or Waitlist; a full class allows Waitlist. Use today or a future start date. Select Trial enrollment only when available, and set the shown Notify instructor preference.

  5. Review “Payment schedule” and “Payment type”

Choose the approved options. If Authorized saved payment appears, select only the authorized method for that family when required. These choices record preferences; no payment is collected here. Configured enrollment fees are posted unpaid for enrolled placements. Use the links under Complete these items to review to correct missing information.

  6. Select “Review Registration” and check the whole household

Check contacts, address, each child, class, placement, start date, trial choice, fee label, and payment preference. Use Back or the step buttons to correct a mistake. Enter Enrollment comments and set Send the configured confirmation as approved; these notification choices are recorded with the enrollment and do not establish that a message was delivered.

  7. Acknowledge the review and select “Complete Enrollment”

Select the checkbox confirming that you reviewed the enrollment details and any available parent-authorized saved payment method. Select Complete Enrollment once. Read Enrollment completed, check each enrolled or waitlisted placement and the count of fees posted unpaid, then select Close.

Result: The household details and new dancers are saved with their reviewed placements and payment preferences. The completion summary identifies configured fees posted unpaid.

Troubleshooting

Review Registration or Complete Enrollment is unavailable.

In Classes and payment, follow the items under Complete these items to review. Check required contact and address fields, Grade, at least one class per child, valid start dates, and any required authorized saved payment. On review, select the staff-review acknowledgement.

The dancer already exists, or the family search does not show the expected household.

Verify the family and dancer in Families. An empty authorized search is not proof that no record exists. Use Enrollments for an existing dancer; ask an authorized Studio manager to resolve uncertain identity or access before creating another record.

A class becomes full or the completion result is unclear.

For a confirmed class-full error, return to Classes and payment and choose the approved Waitlist placement or another class. If the result is unclear, check Families and Enrollments before opening a second intake. Contact Orbit if you cannot establish whether it completed.

Result

Verify the saved family and class placements in Families and Enrollments. Handle payment collection and any staff communication through their separate authorized workflows.

Support

Ask an authorized Studio manager about identity, placement, payment preferences, or contact policy. Contact Orbit for persistent setup, search, or completion errors.
