Objective

Keep contact details and dancer records accurate before continuing to enrollment, attendance, billing, or communications.

Before you begin

  • Use your own Studio workspace account. A visible family record does not always include permission to add or edit it.
  • Have the approved family name, guardian contact details, and dancer details ready.

Instructions

  1. Search “Search family or dancer” before creating a family

Open Families & dancers. Enter a family or dancer name in Search family or dancer, then use the Location, Family status, Policy status, Payment status, or Balance status filters only if they help. Open the Family profile and compare the guardian, contact details, and dancers.

  2. Select “Add family” only when no matching record exists

Choose Add family. Enter Family name and Guardian name, then add Email, Phone, and Dancers when known. Separate multiple dancer names with commas. Select Save family after checking the spelling and contact method.

  3. Resolve a “Possible duplicate” warning before saving

Select Review details and compare the possible match with the approved household information. Select Create separate family only when it is genuinely a different household. Do not create a second family to finish an enrollment or billing task quickly.

  4. Use “Edit family” to change household contact details

Open the Family profile and select Edit family. Change only the approved Family name, Guardian name, Email, or Phone fields, then select Save changes. Reopen the profile after the confirmation and check the contact line.

  5. Edit “Dancer records” inside the family record

In Edit family, update a dancer’s Name, Birth date, or Active record checkbox. Select Add dancer when the dancer belongs to this household, then select Save changes. Do not make a new family just to add another dancer.

  6. Verify the record before starting the next Studio task

Check the saved Family profile, dancer names, and active status. Use Start enrollment, the linked class, or the Billing tab only when that next task is available to your role. Saving a family record does not enroll a dancer, post a charge, or collect a payment.

Result: The correct Studio family record contains the approved contact and dancer details, ready for the next authorized workflow.

Troubleshooting

Families & dancers opens, but Add family or Edit family is unavailable.

Your role may be read-only. Ask a Studio Administrator to confirm the family-record access required for your work; do not use another person’s account.

I cannot tell whether a similar record is the same household.

Stop before editing or saving. Compare the approved guardian and contact details through your studio’s private process, then ask a Studio Administrator to decide whether it is a duplicate or a separate family.

The save result is unclear or the page stopped responding.

Do not submit the same family again. Refresh, search for the family and dancer, and check whether the record already appears. If it remains unclear, Contact Orbit with the visible message after a Studio Administrator confirms the intended record.

Result

Use the family record as the starting point for the separate enrollment, class, billing, or communications task. Verify the saved record before reporting the work as complete.

Support

Ask a Studio Administrator when identity, duplicate status, or edit authority is unclear. Contact Orbit for a confirmed Studio workspace error that remains after the safe check above.
