Objective

Give teachers, office managers, and front desk staff only the Studio workspace access they need.

Before you begin

  • Only Studio Administrators can invite teammates and manage access. Have the teammate’s verified email and approved duties ready.
  • Decide the required locations and categories before sending an invitation. Blank scope means all locations or categories.

Instructions

  1. Open Settings, then “Team & access”

In Settings, select Team & access. If the page says only Studio Administrators can invite teammates and manage access, stop and ask a Studio Administrator to handle the request.

  2. Choose the role that matches the job

Use Studio Administrator for full operational and settings access, Office Manager for family and studio operations, Instructor for assigned classes and attendance, or Front Desk for front-desk work. Choose the smallest role that covers the approved duties.

  3. Complete “Teammate email” and “Role”

Enter Teammate email exactly as the person will verify it, then select Role. Recheck the email before continuing; access is granted only after that invited email is verified.

  4. Set “location scope” and “category scope” deliberately

Enter approved comma-separated IDs in location scope or category scope when the role must be limited. Leave a field blank only when the teammate truly needs all locations or all categories. Keep Instructor access limited to the appropriate work.

  5. Select “Send invitation” and check Pending invitations

Choose Send invitation and wait for the Invitation sent message. The teammate must verify the invited email before access is granted. Use Pending invitations to confirm the email, role, and expiry date rather than assuming the invitation is active.

  6. Revoke a wrong invitation or review active access before saving

Select Revoke beside a pending invitation with the wrong email, role, or scope, then send a corrected invitation. For active staff, use Settings > People or Settings > Roles & permissions. Read the Effective access preview before selecting Save record or Save changes; do not proceed if it reports a self-lockout.

Result: The pending or active access record matches the approved teammate, role, and Studio scope.

Troubleshooting

The Team & access page will not let me send an invitation.

Only Studio Administrators can send invitations. Ask one to confirm your role and complete the invitation if access management is not part of your responsibilities.

The invitation is not confirmed or the teammate cannot access the workspace.

Check Pending invitations for the exact email, role, and expiry date. The teammate must verify that invited email. Revoke and replace an incorrect pending invitation instead of asking the teammate to use a different account.

An active teammate has the wrong tools.

Review the approved role and scope in People or Roles & permissions. Use the Effective access preview and change only the approved access. Contact Orbit only if the confirmed Studio access change continues to fail.

Result

The teammate signs in with their own verified email and uses the Studio areas their access permits. Recheck the specific page or action they need; an invitation does not grant every tool.

Support

Ask a Studio Administrator about role design, scope, or a self-lockout warning. Contact Orbit for a persistent invitation or access error after the studio has verified the email, role, and scope.
