Objective

Record the approved drop date and account effect without sending a refund.

Before you begin

  • Use enrollment-writing access. Reviewing a credit needs billing read access; confirming it also needs billing write access.
  • Have the approved first date no longer covered and billing decision. The date must follow the enrollment’s start date and comply with the Studio’s published policy.

Instructions

  1. Select the dancer’s “Drop” action in “Enrollments”

Select the class, then find the dancer in Roster or Upcoming reservations. Select Drop and check the dancer and Source class before changing anything.

  2. Enter “First date no longer covered” and the billing decision

Enter the approved date; source coverage continues through the previous calendar date. Choose Keep existing charges or Review unused-service credit. Enter Reason when required for a credit or policy exception. Select Use an authorized policy exception only with the Studio’s authorization.

  3. Select “Prepare review” and check coverage and account effects

Check the dancer, Effective date, Source coverage, policy explanation, and warnings. If billing details are shown, review Original source entries, Source class credit, prior linked credits, and Current balance versus Resulting balance. An approved credit posts to the family account; it does not send money back.

  4. Select “Confirm drop” and verify the saved result

Confirm the approved review and wait for Drop confirmed. Check the refreshed enrollment coverage. A future drop retains coverage until its boundary date, so the dancer may remain on the current roster until then. Use Open family account when available to check any posted credit.

Result: The enrollment has the approved coverage end date and any reviewed account credit. Keeping existing charges leaves those charges in place.

Troubleshooting

A credit cannot be reviewed or confirmed, or the date is rejected.

Check billing read/write authority with an authorized Studio manager. Do not choose Keep existing charges just to bypass a required credit decision. Check the enrollment start date, published policy, and displayed date error before preparing a revised review.

The review changed or the confirmation outcome is unknown.

For changed reviewed details, prepare a fresh review and inspect it. For Outcome unknown, select Retry identical confirmation in the existing panel to check the same operation. Do not start another drop; contact Orbit if that confirmation remains unresolved.

Result

Check the enrollment and any family-account credit. Arrange any required family communication separately; a drop does not itself send a refund.

Support

Ask an authorized Studio manager about drop dates, charge retention, credit, or policy exceptions. Contact Orbit for an unresolved confirmation or saved-record error.
