Objective

Save the approved waitlist outcome and review any fees before creating an enrollment.

Before you begin

  • Use enrollment-writing access. Promotion also needs billing read/write access, an available seat on the chosen date, and approved tuition and registration-fee decisions.
  • Confirm the dancer and Studio decision. Removing a waitlist placement does not create an enrollment.

Instructions

  1. Open the class’s “Waitlist” in “Enrollments”

Select the correct class and check the dancer’s name and family in Waitlist. Select Promote to place the dancer or Remove from waitlist to end the waiting placement.

  2. For promotion, set the date and fees

In Review promote, enter the intended enrollment start date in First date no longer covered, then verify Effective date in the review. Set Promotion tuition to Post configured tuition, Waive tuition, or the explicitly approved Post additional tuition. Set Registration fee to Post registration fee or Waive registration fee. Enter Reason when required; use a policy exception only when authorized.

  3. For removal, check “Review remove from waitlist”

Verify the dancer and Source class. Enter Reason if useful for the saved receipt. Removal has no effective-date or fee-choice fields; do not use it to change an enrolled dancer’s class coverage.

  4. Select “Prepare review” and inspect the chosen action

Check the dancer, class, published policy, and warnings. For promotion, also check Effective date, available target seats, Target class charge, and Current balance versus Resulting balance. Prepare review alone does not save the placement change.

  5. Confirm the reviewed waitlist outcome

Select Confirm promote or Confirm remove from waitlist for the action you reviewed. Wait for the matching confirmed message and refreshed enrollment details. For promotion, verify the dancer in Roster or Upcoming reservations and use Open family account to check the fees. For removal, verify that the waiting placement is no longer listed.

Result: Promotion accepts the waiting placement and creates the dated enrollment with reviewed fees. Removal marks the waiting placement removed without creating an enrollment.

Troubleshooting

Promotion is blocked by capacity, pricing, existing tuition, or access.

Read the displayed reason and keep the dancer waiting while an authorized Studio manager resolves the decision. Use Open class tuition pricing when shown. Review existing tuition before choosing Post additional tuition; do not use it to clear an unexplained charge warning.

The waitlist entry changed or confirmation is uncertain.

If the entry is no longer live or the reviewed details changed, check current Enrollments and prepare a new review only for a still-valid placement. For Outcome unknown, keep the existing panel open and select Retry identical confirmation. Contact Orbit if that same operation remains unresolved.

Result

Verify the placement and any reviewed account charges. No payment collection or automatic family or instructor delivery is established by this waitlist action.

Support

Ask an authorized Studio manager about waitlist priority, placement, fees, or policy exceptions. Contact Orbit for persistent review, confirmation, or refresh errors.
