Objective

Use the right Studio setting for tuition method, proration, discounts, and registration fees while keeping policy changes, class pricing, enrollment review, and posted ledger entries distinct.

Before you begin

  • Get the studio administrator’s approved policy for tuition, discounts, registration fees, and taxes before changing any financial setting.
  • Know the class, service period, rate, actual occurrence dates, and registration cycle involved. A studio policy does not supply a missing class pricing period.

Instructions

  1. Open the financial setting that owns the rule

Open Settings, then Tuition for Tuition method, Billing day, and Proration policy. Open Settings > Discounts for sibling rules and caps, and Settings > Registration fees for fee eligibility, trigger, counting unit, amount, and cap. Use Settings > Taxes only when the approved policy includes tax.

  2. Set tuition method and proration

In Tuition, choose Monthly flat, Class rate, or Session total, set the approved Billing day from 1 through 28, and choose Daily, Class count, or None for Proration policy. Billing day records policy; it does not itself schedule or post recurring family charges.

  3. Set discount and registration-fee rules separately

In Discounts, set whether the sibling discount is enabled, its percentage, stacking choice, and maximum discount. In Registration fees, set Charge registration fees, the trigger, Post fee per unit, amount, and maximum. A maximum of zero means uncapped; a positive maximum cannot be lower than the base registration-fee amount.

  4. Check the policy preview

After changing a financial policy, read the Pricing calculator. Pricing calculator previews policy values; it does not post charges.

  5. Save and verify the policy

Review the edited values and Change summary against the approved policy, then select Save changes. Wait for the saved status, then confirm Current active values show the updated policy.

  6. Configure the class price and service period

Open the class, then Tuition & enrollment fees. Add or revise the explicit Rate, Registration cycle, Service period starts and ends, and Actual occurrence dates, then choose Save pricing period. Class-based pricing needs scheduled occurrences. Saving a price revision does not bill families retroactively or post a family charge.

  7. Check the tuition formula

In enrollment review, inspect tuition and total. For Monthly flat or Session total, Daily proration uses the period rate × remaining inclusive days ÷ total period days; Class count uses the period rate × remaining occurrences ÷ total occurrences. For Class rate, tuition is rate × remaining occurrences. Example: $120.00 over 30 days, effective on day 16, is $60.00 before discount, fee, and tax with Daily proration.

  8. Check discounts, fees, and tax

Quote order is tuition − eligible capped discount + eligible registration fee + applicable tax. A registration fee applies only when its configured family, dancer, or dancer-per-class unit was not already charged in that registration cycle; fees already charged in that cycle reduce any remaining cap. Confirm only after the studio approves the amount.

Result: Published policy values and class pricing produce a reviewable enrollment quote.

Troubleshooting

The enrollment review says pricing setup is required.

Open the correct class’s Tuition & enrollment fees and confirm there is exactly one applicable price for the effective date, with its service period and required occurrence dates. Then re-create the review; do not waive a fee just to bypass missing setup.

The calculator or quote does not match the expected amount.

Check the effective date, service period, tuition method, proration rule, class occurrence dates, sibling eligibility, registration-cycle history, fee cap, and tax settings in that order. The calculator is a preview; use the enrollment review to check the record-specific result before confirmation.

Save changes is unavailable or a registration-fee validation message appears.

Confirm that the value actually changed and that all selected values are valid. For registration fees, a positive maximum cannot be less than the base amount. Ask the studio administrator to approve a policy exception; contact Orbit for product help if a valid save continues to fail.

Result

Use the class and enrollment workflow to review a specific family amount. Use Billing only after an approved action has posted a financial result; do not use a manual credit or charge to imitate an unreviewed policy change.

Support

Ask the studio administrator to approve tuition, discount, fee, tax, and exception decisions. Contact Orbit for product help if a published policy or class price cannot be saved or an eligible enrollment quote remains unavailable after the visible setup checks.
