Objective

Find the exact billing record behind a question before changing anything. Transactions are posted ledger facts; an account credit, payment, and refund are separate actions with different outcomes.

Before you begin

  • Have the family name, amount, description, and relevant date ready. Check existing history before creating another financial entry.
  • Know whether you are reviewing a record or have approval to post a new ledger entry. Billing access can be read-only.

Instructions

  1. Open Transactions

Open Billing > Transactions. All transactions lists authorized family ledger entries, newest first.

  2. Filter the result

Use Search transactions for a family, description, or type. Then use Family account, Transaction type, Transaction state, Date range, From date, and To date. Open means an outstanding positive entry, Unapplied means a remaining negative entry, and Applied means the open amount is zero.

  3. Open the transaction detail

Select the row you need. Read Family, Effective date, Amount, Allocation state, Description, Open amount, Due date when present, and Ledger reference. Use Open family billing when available to compare the detail with the account’s complete Billing history.

  4. Download the filtered result

Check the visible count, then select Download CSV. The file contains the visible filtered rows: transaction date, family, description, type, state, amount, currency, open amount, due date, and ledger reference.

  5. Open the family account for an approved correction

From Billing or Open family billing, confirm the family name and review Current balance, Open charges, Unapplied credit, and Billing history. Use New transaction only when your role has write access and the studio has approved a new ledger fact.

  6. Post the approved entry

In New transaction, choose Charge, Credit, Debit adjustment, or Credit adjustment. Enter Amount and Description; add Due date and Reason when needed. Select Post transaction, then confirm the new entry in Billing history. Corrections are new entries; prior entries are not rewritten.

Result: Billing history records the selected entry and its allocation state.

Troubleshooting

No transaction matches the search or filters.

Remove one filter at a time, check the date range, and search by family, description, or type. If the entry still does not appear, open the family account and compare its complete Billing history before assuming it was never posted.

New transaction is missing or the account says Billing access is read-only.

You can review the account but cannot post a new fact. Ask the studio administrator to confirm your billing authority; do not use a teammate’s session or a different family account.

The posting result is uncertain or the same charge may already exist.

Do not post it again immediately. Refresh the family Billing history and compare the description, amount, date, and result. Ask the billing owner to reconcile an unclear result before another action.

Result

Use the family account, enrollment record, or payment activity that owns the next question. A CSV is a review copy of the filtered ledger, not a replacement for the source record or an authorization to change it.

Support

Ask the studio administrator to approve a charge, credit, or adjustment. Contact Orbit for product help if the Transaction view, CSV download, or a confirmed posting result repeatedly fails; include the visible action and message without sharing family financial details.
