Objective

Save a reviewed message template and load its approved content into Compose.

Before you begin

  • Have the studio-approved wording ready. Saving templates and approving versions require different permissions.
  • Use only {{guardian_first_name}}, {{family_name}}, and {{studio_name}} for personalized fields.

Instructions

  1. Prepare the content in Messages > Compose

Enter Subject and Message, or choose an existing Approved template as a starting point. Keep the subject within 160 characters and the message within 5,000. Review both format previews.

  2. Open Templates and check Save current message

Read the displayed Subject and Message. Enter a clear Template name, such as Term reminder — October, so staff can distinguish it from earlier wording.

  3. Select Save template

Wait for Template saved for review. Find the new card in Controlled templates and check its name, Version, and Awaiting approval status. Saving creates a new template; using an existing name does not update that template.

  4. Review and approve the displayed version

Select Use template to inspect its content in Compose, then return to Templates. An authorized approver selects Approve version on the matching card. Check the confirmation names the correct template and version.

  5. Reuse approved content

Select Use template on the approved card. Confirm that its Subject and Message load into Compose. Recheck the audience separately before preparing any communication.

Result: Controlled templates shows the approved version, and Compose contains its reusable content. No message is sent by saving, approving, or loading a template.

  6. Save changed reusable wording for fresh approval

Editing Compose does not change an approved template. For a reusable revision, return to Templates, give the changed wording a distinct Template name, select Save template, and obtain approval for that new card. Check the displayed Version rather than assuming approval carries over.

Troubleshooting

Save template rejects a personalized field.

Use the three complete fields listed above with the exact braces and spelling. Remove unsupported fields, check both content fields, and save again.

Approve version is unavailable or the version changed during review.

Ask a Studio administrator to confirm approval authority. Refresh Templates, inspect the current content and version, and approve only the version actually reviewed.

I edited a message but the approved template still has the old wording.

Compose edits affect the current message. Save reusable changes under a distinct Template name and obtain fresh approval; do not tell teammates the earlier template was updated.

Result

Use the approved template for a separate audience review and communication task. Existing-template version editing is not offered by these controls.

Support

Ask a Studio administrator to approve wording or decide which template staff should use. Contact Orbit support if the saved content, approval, or version remains inconsistent after refreshing.
