Objective
Keep reusable data work named and reviewable, with an explicit approval boundary before bulk processing.
Before you begin
- Use the Studio owner's authorized account. Have the approved operation and affected records ready.
- A saved view stores view criteria. A bulk plan records selected work; neither is proof that records changed or statements were sent.
Instructions
Save a named family view when useful
Open Settings > Data quality. Under Save a directory view, enter View name and select Save view. Check the name appears in Saved views with families and private. This control saves the current-family view; it does not offer custom filter editing.
Open Settings > Bulk operations for planned work
Choose Operation: Class publication, Class participation, Family statements, Roster export, Attendance export, Class drop review, or Reference reassignment. Confirm the chosen operation matches the studio's request.
Review every checked Target
Select only the approved classes, billing accounts, attendance entries, or references. Check the current selection even when a target is already checked. For Reference reassignment, choose a different Replacement reference from the same reference list.
Select Preview impact
Read Frozen target review and the target count. If you change any target or replacement, select Preview impact again before saving so the displayed review matches your final choices.
Name and create the reviewed plan
Enter Plan name and select Create frozen plan. Find that plan under Plans and recovery, then read its saved impact summary and version.
Approve and queue only the reviewed plan
When authorized to proceed, select Approve plan on the matching Prepared record, then Queue approved plan after it becomes approved. Recheck the displayed plan before each action.
Review results before calling the work complete
Check the plan's status, targets reviewed, and individual result evidence. No target results have been recorded yet means the result is still unverified. Queuing a plan alone does not publish classes, send statements, drop placements, or produce an export.
Result: The named view or frozen bulk plan is saved. Approved and queued plans retain their recorded target selection; execution outcomes require separate result evidence.
Troubleshooting
Preview impact is disabled or rejects a replacement reference.
Select at least one Target. For Reference reassignment, select a different available Replacement reference in the same list; do not select the replacement as a target.
A queued plan needs to be stopped.
Use Cancel queued plan while it is offered, then verify the cancelled status. If execution has already begun or no cancellation is offered, ask the Studio administrator and contact Orbit support; cancellation is not a rollback.
A plan shows failed, partially failed, or uncertain results.
Read each target's evidence. Use Resume safe targets only after reviewing the failure and confirming the intended work. Refresh and check results before creating a replacement plan; contact Orbit support if the outcome remains uncertain.
The named view is missing or does not show custom criteria.
Refresh Data quality and check Saved views. The View name field does not configure filters or open a directory. Contact Orbit support if a confirmed saved view remains missing.
Result
Verify resulting records or outputs for the chosen bulk operation. Use recorded target results to resolve failures without repeating already completed work.
Support
Ask a Studio administrator to approve the operation, target selection, or reference replacement. Contact Orbit support for a stuck plan, unclear target outcome, or missing saved view.
